Logging into MailArmory

Go to: https://www.mailarmory.com/index.html and login using your full email address and email
password in the Client Login Box located in the upper left of the screen.

Captured Mail Box

After you've logged into MailArmory you are presented with the Captured Mail screen. This gives you
access to all the Captured emails that MailArmory has identified as potential spam or virus. In the unlikely
event that a legitimate message is held by MailArmory, you can mark it for release and it will be delivered to
your email box within minutes.

To do this:

Place a check in the box to the left of the message(s) you would like to release. From the pull down
menu at the top of your captured mail list you have three options:

  • Trash All Marked Messages – moves messages to your MailArmory Trash Mail Box
  • Release All Marked Messages – releases messages to your email Inbox
  • Always Accept Marked Messages – releases messages to your email box and puts the sender's email
    address in your MailArmory Accept List (list of addresses from which you always want to accept
    email)

Trash Mail Box

Trashed messages are those that have been removed from your captured mail box for one of several reasons:

  • You marked them for deletion.
  • They were in your captured mail folder for the timeframe defined by your MA configuration.
  • They were sent there automatically (auto-trashed), because of their extreme likelihood of being spam or viruses.
    (This is a setting that can be adjusted by you.)

Once in the trash, messages are held there for 2 days – just in case – and then permanently deleted from the MailArmory
Servers. Once email is deleted it cannot be recovered.

My Settings

MailArmory was designed to allow for a high level of interaction and extensive user and administrator configuration
control. Users have the ability to decide individually: whether or not to filter for spam or viruses, filter aggression, how
long messages are stored in the Captured Mailbox, and the maintenance of personal accept and reject lists. To adjust
your personal settings, click on My Settings in the top bar of the MailArmory screen.

This will bring you to a screen that
tells you what your current settings are. From this screen you can:

  • Adjust My Settings
  • Add/Remove email addresses to your Accept List (white list)
  • Add/Remove email address to your Reject List (black list)
  • Turn on/off MailArmory Notifications
  • Go the MailArmory KnowledgeBase

Adjust My Settings

The MailArmory system is an artificial intelligence (AI) system that rates/scores emails destined for your email box. This scoring
system helps the filter determine if email should be blocked, trashed or captured.

Click "Adjust My Settings" to begin.

Spam Handling

You should now be in the "Spam Handling" section of the "Settings" wizard. Here you can select, from a variety
of options, how you'd like MailArmory to handle spam filtering.

  • "Yes" will block spam and capture email that cannot be clearly defined as spam by the AI so you can review them.
    (most common)
  • "No" will turn spam filtering off if you do not want to use the service.
  • "Mark Only" will deliver all email to your email box with those that are suspected as spam being marked in the
    header information. Note: this setting is only recommended for advanced users.

We recommend setting spam handling to "yes."

When you've finished, click "Next" to be brought to the "Spam Tolerance" screen.

Spam Tolerance

To select how aggressively MailArmory filters your spam, click the first drop down menu and choose a number between
1 and 10.

A setting of 1 is the most aggressive and a setting of 10 is
the least aggressive. If you do not currently receive a lot of spam to your email address now, we recommend you start at an
aggression level of 8 or 7. For users who receive a lot of spam, we recommend you start at an aggression level of 5 or 4.
Please note: The higher the aggression, the higher chances for legitimate emails getting caught.

You can also select whether emails with a high spam rating are trashed, or whether automatically trashing emails is turned off.
To do this, choose an option from the second dropdown menu provided. The higher the number, the more likely it is that the
message is a spam email. For instance, the messages that would be trashed by selecting "Yes, trash at level 6 and higher,"
would most likely include many legitimate emails.

Click "Next" after you've finished.

Mail Expiration

From the pull down menu on this screen, you can choose to keep email in your Captured Mail Box anywhere from 4 hours to 14 days.
Note: Once you have set the level, and the threshold has been met, all email in your Captured Mail Box will be moved to
your Trash Mail Box. It will hold in your Trash Mail Box for 2 more days before being permanently deleted from the system
unless you delete them out of the Trash Mail Box.

Make a selection or leave as default and click "Next."

Virus Handling

In this section, you can choose to block viruses or let viruses through. Please note that the Domain Administrator for your domain can
choose to block viruses and override your setting not to block viruses.

Messages with viruses can not be released from MailArmory.

After you've finished, click "Next."

Content Filtering

If you'd like to block email that contains text of a questionable nature, click "Yes." Please note that the Domain Administrator for
your domain can choose to block questionable content and disallow you from changing that setting.

When you are satisified with all your changes, click "Done."

MailArmory Notifications

Here you can set up to receive email notification regarding MailArmory features and/or reports of your Captured Mail. We
recommend you turn on email reporting to "Once a day (extended report)." This setting will help you stay informed about your activities. Your options for email reporting are:

  • Once a day – sends you an email once a day with number of emails added to your Captured Mail Box (it does not
    count emails that were auto-trashed)
  • Once a day Extended Report – sends you and email once a day with the sender address and subject of each new
    email added to your Captured Mail Box so you can quickly review for any legitimate mail that may have been
    captured (it does not provide you with information on emails that were auto-trashed) **Recommended
  • Once a week – sends you an email once a week with the number of emails added to your Captured Mail Box (does
    not count emails that were auto-trashed)

Reject List (Mail you never want to receive.)

The MailArmory filter checks the sender address of each message against your list of acknowledged and recognized “bad” email
addresses. The filter will mark any messages as spam that match this “bad” list regardless of their content. You are limited to 300
email addresses on this list.

NOTE: Most spam messages use forged sender addresses stolen from legitimate users. Adding these random addresses to your reject
list is unlikely to reduce your spam level, and may block your legitimate mail. We recommend that you only add addresses that you have received several
unwanted emails from over a period of weeks.

It is not necessary to add the email addresses of the spam messages that arrive in your Captured Mail Box because the system is
already recognizing that email as spam.

Accept List (Mail you always want to receive.)

As each mail message comes in, MailArmory checks the sender address against your list of acknowledged and recognized “good” email
addresses. If there’s a match then the message won’t be marked as spam even if it has suspect content.

  • If you find that mail from a specific friend or co-worker is often incorrectly marked as spam, you may want to add
    them to the Accept List. You can do this by manually adding them to the Accept List or when releasing a Captured
    email choosing the Always Accept method of release.
  • In your accept list, wildcarding is supported. Wildcarding allows all email from a domain to be accepted. For example, if you
    wanted to accept all email from mailarmory.com you could add *@mailarmory.com to your list.

Caution: Do not add your own address or *@yourdomain.xxx to your accept list. Spammers regularly forge spam
addresses from either your own address or one at your domain.
